Terms and Policies

Minimum Booking

In the off-peak season of late September to early June, most properties can be booked by the night with a minimum stay of 3 nights. Please call us for pricing.

Booking Deposit

A Booking Deposit is required at the time of reservation and is 50% of the total vacation rental amount before taxes. You can pay the booking deposit by credit card (preferred) or cheque. If you pay by cheque, it must be received at our office with a current date, within 5 business days of your reservation. After booking, the cancellation policy applies.

Security Deposit

We will keep your credit card number on file for a security deposit. This is to protect us from possible damages to the vacation property. Security charges will only be applied to your credit card if necessary and you will be notified. Guests are financially responsible for all damages and additional cleaning fees if necessary. Should we find the property in an unacceptable condition upon your departure, your security deposit will be used for extra cleaning, damage repairs, and expenses resulting from agreement violations.

Reservation Confirmation

Once we have received your booking deposit, we will provide you with a Rental Agreement that documents your custom vacation rental details, as well as information, rules and policies of your property. Your reservation will not be confirmed until we have received the booking deposit, and signed Rental Agreement.

Final Payment

The Final payment is the remainder of your vacation rental amount plus taxes. If you are booking within 45 days of arrival, then full payment is due at reservation time. If you have booked more than 45 days in advance, you are requested to mail a cheque for the final payment that is dated for one month prior to your arrival date and addressed to Kootenay Rockies Vacation Rentals. The payment should be mailed with your signed Rental Agreement. If you prefer to pay the final payment by credit card, a fee of 2% of the final amount will be added to the final payment as a credit card fee. We will phone you a day before the cheque or Credit Card is processed.

Cancellation Policy

We know that plans can go astray, however we rely primarily on advance reservations and a cancellation cannot always be filled. So to be fair to all concerned our cancellation policy is as follows: A grace period of 48 hours is given from the time of booking for cancellation. If cancelling 45 days or more before arrival, the booking deposit less a 30% service fee will be refunded. If cancelling less than 45 days before arrival the entire cost of the vacation rental will be forfeited, unless the property can be rebooked.  If a full replacement booking is made, then all monies will be refunded except for 30%, of the original booking fee. If the property is not rebooked, the entire cost of the vacation rental is forfeited.  If cancelling within 30 days of arrival, the entire cost of the vacation rental is forfeited. 

Neither Owner nor property manager shall be liable for events beyond their control which may interfere with your stay, including but not limited to Acts of God, or inclement weather. NO REBATE OR REFUND will be offered in these circumstances

Moving Fee

If you request to move from the property you have booked to another property, the fee is $100 plus GST per vacation home or cottage, per week. Moves are allowed only with special permission from the property manager and they are never allowed within 45 days of arrival date.

Changeover Days

Changeover days are usually Friday and Saturday, especially from mid June to Mid September.

Check out time is 11:00 am

Pets

We do understand that our pets are cherished family members and some of our Vacation Homes will permit 1 pet dog. Prior approval is required and special restrictions do apply. The pet fee is $100.00 plus GST. Any evidence of pets on the furniture or in the bedrooms, may incur an extra cleaning fee. They must be walked away from the property and cleaned up after.

Additional Policies

Any illegal activities are prohibited and will result in immediate eviction. Quiet time is between 11:00 pm and 8:00 am. All Vacation Homes and Cottages are designated non-smoking If you book a property with our company, the vacation property and any beach or riverfront are for guests booked at the property only. Some properties do not allow any visitors. Others allow some visitors; a maximum of up to 4 people visiting for up to 4 hours, twice a week during your stay. Most of our properties are on septic systems and require special care that is quite different from public sewer systems, it will clog up if improper material is flushed.

A few of our vacation properties will allow tents or RV’s, but only with special permission and at a cost of $25.00 per night for 2 people. This must be arranged prior to arrival or at the time of booking.
